Health & Safety

Plan Ahead

If you are supporting learners through their sessions, it is important that you plan ahead to be appropriately prepared for your session(s).

Access FLO

First of all, you should have been invited to FLO by your Company Admin and you have verified your account. Once you have verified your account, you can access the FLO LMS & VR App.

Familiarise Yourself

We recommend that you are fully adept at navigating the headset’s interfaces & menus just in case you need to talk a learner through anything.

We recommend that you also complete the planned lesson content yourself and refer to our teaching materials which can be found on our Learning Management System before the session takes place.

Prepare the Space

Wherever you are conducting the sessions, it is best to prepare the room ahead of time if you can. This includes:

  • Clear floor space

    • If needed, move unneeded tables/desks and chairs to one side or out of the room.

    • Be mindful that you are still providing enough space for waiting participants to be seated away from active participants.

  • Segment your available space

    • We place each headset on chairs which are spaced evenly around the room allowing a minimum area of 2m² for each participant.

    • Try to leave a buffer zone between each play area if you can avoiding walls, desks & people.

Prepare the Hardware

Well before the session is due to take place, make sure your headsets are clean and fully charged & you have free access to an electrical outlet if you need to top up the battery charge between sessions.

When setting up the headsets for the session, set up a stationary guardian boundary on each headset while seated in their chairs. This ensures that you have full control of the play area for each learner.

We also recommend ensuring that the device is connected to the Wi-Fi network and you have run and logged into our Care Reality VR app to complete any pending updates.

Champion the Session

There are a number of simple steps you can take to take charge of the session and assist your learners

  1. Introduce the session: Tell the participants what they will be doing.

  2. Make them feel safe: Advise on all health and safety aspects and if they feel unwell or unsecured at any point they should remove their headset immediately.

  3. Show how to use the headset: demonstrate how to put the headset on, change the lens spacing & how hand tracking works including gestures which can be view on our Meta Quest - Core Functions and Gestures page.

  4. Continuously monitor the session: as the session is in progress, monitor what the participants are doing, ensure they remain centred within their play area and no person or physical obstruction comes in their path. Remember: They cannot see the real world while they are in VR!

  5. Make the session fun: some people will be anxious or uncertain about using VR, particularly if it is their first time. It is important that you make them feel at ease and show them that this will be a positive experience for them and that VR is a more engaging and entertaining medium for learning!
